Booking mails
CampOne sends automated emails to guests at key points in their booking life-cycle: when a booking is created, when you confirm it, when the stay is finished, when you cancel, and a few days before arrival as a reminder. Most of those messages are scheduled rather than sent immediately, so they sit in a queue until their trigger time arrives. The Booking mails page is where you can see that queue, find a specific scheduled message, and send any of it right now if a guest is on the phone asking why they have not received their confirmation yet.
How to find it
Section titled “How to find it”In the sidebar under Buchungen (Bookings), click Mails. It is the second entry below the Buchungen list.
What’s on the page
Section titled “What’s on the page”Page header
Section titled “Page header”A simple page title — Mails. There are no filter controls in the header; the page lists every queued message in one table.
Queue table
Section titled “Queue table”A single table with one row per scheduled email and these columns:
- Geplant seit — when the message was queued, formatted in Swiss German style (e.g. 14.05.2025, 10:32:11).
- Auslöser — the trigger type, in plain language:
- Buchung eingegangen — confirmation of a freshly received booking.
- Buchung bestätigt — confirmation that you have approved the booking.
- Aufenthalt abgeschlossen — thank-you / departure mail after check-out.
- Buchung storniert — cancellation acknowledgement.
- Erinnerung (T-3) — reminder sent three days before arrival.
- Buchung — the booking reference (e.g. CMP-AB12CD) the message belongs to.
- Anreise — the booking’s arrival date, useful when scanning for upcoming reminders.
- E-Mail — the recipient’s email address.
- Senden button — a filled blue Senden button on the right of every row that fires the message immediately.
When the queue is empty, the table is replaced by Keine geplanten Mails. (no scheduled mails).
While the list is loading, Mails laden… appears in place of the table.
Common workflows
Section titled “Common workflows”Send a scheduled email right now
Section titled “Send a scheduled email right now”- Open the Mails page from the sidebar.
- Find the row you want — match by booking reference, recipient, or trigger.
- Click the blue Senden button on that row.
- The button briefly shows … while CampOne sends the message. Once done, the row drops out of the queue.
Confirm a guest received their booking confirmation
Section titled “Confirm a guest received their booking confirmation”- Open the Mails page.
- Filter visually for the booking reference and the Buchung bestätigt trigger.
- If the row is still listed, the email has not gone out yet — click Senden to send it now.
- If the row is not listed, the email has already been sent. Open the Booking detail page for that booking and check the Verlauf tab for the timestamp.
Clear out reminders for a cancelled booking
Section titled “Clear out reminders for a cancelled booking”- After cancelling a booking, open the Mails page.
- Look for Erinnerung (T-3) rows for that booking reference.
- CampOne will normally drop them automatically, but if any are still listed you can leave them — the system will skip them at send time when it sees the booking is cancelled.
Tips and gotchas
Section titled “Tips and gotchas”- This page only shows queued messages. Once a message has been sent (or has failed and been dropped), it disappears from this list. To check whether a guest received a particular email, open the booking and look at its Verlauf (audit) tab.
- Erinnerung (T-3) mails are scheduled when the booking is created. If a guest’s arrival date moves, the reminder follows the new date automatically — you do not need to delete and re-create it.
- There is no per-row delete action: send-now is the only action available on this screen. To prevent a message from going out, cancel the underlying booking before its scheduled time.
- The page lists up to 500 queued messages at once. Larger queues are paginated by the underlying API; if you cannot find a row, narrow your search using the Bookings page first to confirm the booking still exists.
- This page does not edit email templates (subject line, body text, signature). Template editing happens in Einstellungen → E-Mail-Vorlagen — your CampOne onboarding contact will walk you through it.
